Who we are

Filed is an AI transaction-coordination platform for residential real-estate agents and brokerages, operated by Filed (a California sole proprietorship as of this draft).

What we collect

• Account info. Your email, name, license number, and any optional profile info you choose to add.
• Documents you upload. Real-estate contracts, disclosures, and related PDFs you send us so the AI can read, classify, and fill them. Stored encrypted at rest.
• Deal data. Property addresses, party names + contact info, prices, dates, and other transaction facts you enter or that we extract from your documents.
• Integration credentials. If you connect zipForm or a similar third-party service, your credentials are encrypted at rest with a key never exposed to our application logs.
• Usage logs. Standard server access logs (IP, user-agent, timestamps) retained for 30 days for debugging and security.

What we don't do

We do not sell your data, train public AI models on it, or share it with parties not authorized by you.

Who we share data with

• Anthropic — your chat messages and document text are sent to Anthropic's Claude API to generate responses. Anthropic does not train on customer API data per their commercial agreement.
• DocuSeal — when you ask Filed to send a document for signature, the PDF and signer email addresses are sent to your self-hosted DocuSeal instance.
• Resend — used to deliver signature-request emails. Recipient email and message body are passed through.

How long we keep your data

Deal records and uploaded documents are retained for the lifetime of your account plus 90 days after deletion (to support disaster recovery), then permanently deleted from primary and backup storage.

Your rights

You can request a full export or deletion of your data at any time by emailing privacy@filed.app. We respond within 30 days as required by CCPA and GDPR.
